Planergy contacted us a few months before the event and ultimately chose us, or rather me personally, to organize the event. I immediately got on the same wavelength with the company and the cooperation worked very well throughout. We planned a small workshop, but the event eventually grew, which became clear during the pre-registration, and we ended up organizing a full-day event for 100 people at Gerbeaud.
It was important not to huddle a lot of people into a very small space at the event, but to preserve its elegance and “do it in style”. Accordingly, we looked for a high-quality venue and continuously updated the visual design of the event on 3D floor plans, adapting it to the current number of people and equipment. 10 sponsors had to be offered exhibition opportunities in such a way that the event did not have an overly expo-like atmosphere, but the supporters could present themselves. Thanks to Gerbeaud, we included 4 breaks with the most delicious, quality food, soft drinks and coffee, so people felt comfortable, since in addition to the educational presentations, one of the main goals of the event was to create a networking platform. The second goal was to create a tradition with this event, so we had to organize a very impressive first event, which in its atmosphere, style, quality and organization would lay the foundation for Planergy to organize further events on the topic.
We put the stage and the LED wall in an unusual location within the venue, on the opposite side, to make efficient use of the side aisle. We took advantage of the location and placed sponsor logos on the shelves as small decorative elements. In keeping with the Gerbeaud colors and the imagined friendly “as if you were in your own living room” atmosphere, we chose comfortable beige armchairs for the conference stage, where the presentations and roundtable discussion took place. We also created a friendly atmosphere in the sponsor lounge by placing comfortable armchairs in the space in addition to digital devices and TVs.
